 Successful email broadcasting tips

 

  1. Target your audience.   Select your list appropriately.  Don’t send every message to every email address you can find.  If you get a reputation for sending too many messages, your recipients will start to tune out all of your messages and the relevant ones will go unread.
  2. Personalize your message.  Once you’ve identified where you want to send your message – address your contact.  “Dear Jane” is a lot more effective than “Dear Valued Customer”.  Look for an email broadcasting company that has the ability to help you set up this type of merged broadcast.  Remember that the more personalized the message is, the more likely your message will be read.
  3. Make it easy to contact you.   Always include updated contact information so your contact can easily reach you including a link to a website or your email address.
  4. Timing is everything.   For business-to-business messages, the best time to send your email is during regular business hours.  For business-to-consumer messages, the best time to send your message is in the afternoon or early evening.  Make sure your email broadcasting provider sends at the right time by asking for and checking the log report after your job.
  5. Respect removal requests.  Include an easy way for your contacts to be removed from your email list.  Make sure to respect your contact’s wishes and remove their information.
  6. Shorten your paragraphs.  Keep email paragraphs short; no more than 3 sentences.
  7. Subject lines.  Give your email a meaningful and appropriate Subject line in order to draw your contact’s attention and make it easier to find at a later date.
  8. Never send attachments.  It is much more effective to link to the file and host it on the internet.  Sending attachments just slows down email systems.  Also, if someone is checking their email from home and is on a dial-up system it could crash their system.
  9. Email format.  Create your email in HTML to add color and graphics to your message, but be sure to also send a text version to your email broadcasting provider.  A good broadcaster will be able to identify if the recipient is able to view the graphics and if not, send the text version only.
  10. Closing.  Always identify your full name, email address and phone number where you can be reached.
